Take a Bite Out of the Right Restaurant POS System

Running a restaurant can be one of the most demanding business propositions put forth to individuals.

Not only does the owner need to have a taste for what consumers want, he or she must also be good at promoting their wares, overseeing a staff of different personalities, and be willing to put in very demanding hours. Even with all that, the job is oftentimes far from done.

Finding the right POS system to manage one’s restaurant does not have to be an experience that will leave a bad taste in their mouth.

First off, the point of sale system is essentially comprised of a computer, cash drawer, customer display, credit/debit card reader and receipt printer that makes for what should be a smooth checkout system. The POS allows for better integration of differing tracking and accounting systems that keeps one’s eatery running smoothly.

In order to best locate the correct POS system, restaurant owners should look at what the most pressing needs are for their business. For the smaller business, a loan computer or one linked network is likely all that is necessary to maintain a smooth operation. For the larger businesses, there might be the need for several terminals that are under the control of a central center.

Along with understand the size and scope of one’s operation, restaurant owners should also look at their budgetary means.

Restaurant owners have the option of leasing web-based software or making a direct software purchase. Keep in mind that there need to be budget allocations toward computers and networking equipment that is necessary for tracking sales numbers and managing one’s accounts.

If your restaurant business is looking into POS systems, keep in mind the following:

  • Computers and control units – As noted above, the size of your operation will have much to say as to what your need for computers and control units will be. You should be more inclined to purchase new computers instead of using personal computers. Make sure you have terminals set up in an easy to maneuver area for your servers;
  • Touch screens or standard keyboards – Another choice to make will be whether you purchase standard keyboards or touch screens for your servers. One of the advantages with touch screens is that they require less room, however keep in mind that they are also typically more expensive than the standard keyboard;
  • Compatibility with credit cards – Given that countless customers use credit cards to pay for meals and food purchases, make sure your POS system of choice accepts credit card processing. If you purchase a system that does not, you will have to pay more over the long-term to update;
  • Software compatibility – Another compatible issue is making sure the software you need matches up with the POS system you buy. Remember that the best software for your needs may not match up with the system you purchased;
  • Don’t forget miscellaneous fees – It is also important to remember the other expenses that can add up with a POS system. Among them will be costs for printer paper and ink, which can add up over time. Look for sales when it comes to buying such things so you can save money over time. You can also expect to pay for things such as merchant account expenses, so look for promotions/savings that providers may offer;
  • Be wary of proprietary offers – Restaurant owners should think twice before purchasing proprietary software, given the fact this software fails to conform to open-systems standards. If one purchases this kind of software, remember that the vendor has a wide latitude with which to charge for both service and upgrades following the initial sale;
  • Here’s a tip – Another item of importance in purchasing POS systems is having a system or systems that properly records tips. Restaurant owners are typically required to file a tip report with the IRS, essentially informing the government what percentage of sales the restaurant claimed as tips, along with which are cash tip percentages and which are credit card related. In the event owners do not properly record such information, they stand a good chance of being audited, as the government wants its portion of tax revenue.
  • Shop around – Just as customers like to peruse a menu before ordering, it is important for restaurant owners to shop around for the right POS. Owners should research the different products available online, consult with other restaurant owners that have employed POS systems and are willing to share feedback, and not be rushed into a purchase.

With the right POS system in place, restaurant owners will not be left with a bad taste in their mouths when it comes to effectively running their business.
